Getting data out of the store and into everything else

The underlying problem is that every export is a separate definition of the same thing.

One counts orders when they are placed, another when they are paid, a third excludes cancellations and a fourth does not — so four people produce four revenue figures, all defensible, none matching. Fixing it is less about tooling than about agreeing the definitions once and building them in a single place that everything else reads from. What that place needs is unglamorous: scheduled exports that run without anybody remembering, a format the receiving systems actually accept, and a record of when each one last succeeded. The performance point matters at scale. A report that reads across every order will eventually time out or slow the store for customers while it runs, so anything large should be produced from a copy or during quiet hours rather than on demand in the admin. The symptom that this has gone wrong is familiar: a monthly figure that everybody knows is approximately right and nobody can reproduce exactly.

Why do our numbers disagree?

What should a scheduled export record?

When it last ran successfully. An export that has been failing quietly for six weeks is worse than one that never existed, because somebody is making decisions from a file with a recent date on it and stale contents inside, and nothing anywhere is complaining about it.

Why not run big reports in the admin?

Because they read across everything and compete with customers for the same database. A report that takes two minutes in the admin is two minutes of a slower storefront, and at some size it stops finishing at all. Large ones belong on a copy or in quiet hours.
